What should an appointment confirmation message include?

A good confirmation text states the service, the day and date, the start time, and one next step (where to go, how to prepare, or how to change it). Keep it to one or two short sentences so the client can check it at a glance, and never include details you haven't actually agreed on, such as a price or policy you haven't shared.

The four parts of a clear confirmation

Service: “your lash fill”, “your deep clean”. Naming it prevents the classic mix-up where a client books a fill but expects a full set.

Day and date together: “Tuesday, Oct 6”. Weekday names alone cause most confusion — “next Tuesday” means different things to different people.

Start time with AM or PM: “at 2 PM”. If you work across time zones (tutoring, virtual sessions), add the zone.

One next step: preparation, parking, or how to reschedule. One is enough; a paragraph of rules gets skimmed.

Send it right after you add it to your calendar

Confirm only after the appointment is actually in your calendar. Confirming first and adding later is how double-bookings happen — especially when you're replying between clients.

If you can't check your calendar right now, send a holding reply (“Let me check and confirm in a bit!”) instead of a confirmation.
